Required Information for Reports

For your abuse report to be evaluated quickly and accurately, please provide the following information completely.

Contact Information

Full name, email address and preferably a phone number. A valid email is required so we can contact you during the review.

IP Address or Domain

The IP address, domain or server information where the abuse was detected. If possible, specify the full IP address and port number.

Date and Time

The date and time the incident occurred. Specifying the time zone (UTC, GMT+3, etc.) speeds up the review. Provide multiple date/time samples if possible.

Incident Description

The type of abuse and a detailed description. For spam, share email headers; for DDoS, share attack type and traffic source details.

Log Records

Server logs, email headers, network traffic records or similar technical evidence. Sharing raw log data significantly shortens the review process.

Evidence and Screenshots

Screenshots, file URLs or related documents proving the violation. For DMCA reports, copyright documents and links to the original content are required.

Abuse Response Policy

At Kolan IT, we take abuse reports seriously and evaluate them within the framework of the following policy.

Zero Tolerance Principle

We apply a zero-tolerance policy against activities such as spam, phishing, malware distribution and illegal content hosting. Detected violations are reviewed immediately and the required actions are taken.

Graduated Enforcement Process

When a violation is detected, a written warning is first sent to the customer with time given for correction. In case of repeated or serious violations, the service may be suspended or permanently terminated.

Reporter Privacy

The reporter's identity, contact information and complaint details are kept strictly confidential. Never shared with any third party, including the involved customer. The reporter's safety is our priority.

Fair Review

Every report is evaluated impartially and fairly. The relevant customer is granted the right to defense. Decisions are made by examining technical evidence and log records. Measures are also applied against unjust or intentionally false reports.

Legal Cooperation

Cooperation is provided in accordance with requests from legal authorities and court orders. In criminal activities, reports are made to the relevant law enforcement and prosecutors.

Outcome Notification

When the review is complete, the reporter is informed about the outcome. Although the details of applied sanctions are not shared due to privacy, it is confirmed that the report was resolved and the necessary actions were taken.
