How do I add an email account to my phone?

You can add the corporate email account you created in cPanel to your phone and access your messages on the go. You can fetch server addresses, ports and encryption type as ready-made details from cPanel's "Connect Devices" screen, then define the account using the built-in Mail app on iPhone or the Gmail / Outlook app on Android.

1. Getting Connection Details from cPanel

  1. Log in to cPanel.
  2. In the Email section, go to Email Accounts.
  3. Click the Connect Devices button next to the account you'll add to your phone.
  4. The opened page has two sections:
    • Application Password — you can generate a separate password for client apps as added security (not required; you can also use your account password).
    • Mail Client Manual Settings — full list of server addresses and ports.
  5. Note the following (you'll use them when entering manually on your phone):
    • Username: Your full email address (e.g. info@yoursite.com)
    • Password: The password you set when creating the account
    • Incoming server (IMAP): mail.yoursite.com — Port 993 — SSL/TLS
    • Outgoing server (SMTP): mail.yoursite.com — Port 465 — SSL/TLS
Tip: The Connect Devices page has an iOS Mobile Config file link for iOS. Opening this file from the iPhone browser installs all settings automatically; you don't need to enter them manually.

2. Adding an Account to iPhone / iPad

  1. Open the Settings app.
  2. Tap MailAccountsAdd Account.
  3. Choose Other from the list, then Add Mail Account.
  4. Fill in the form:
    • Name: The name you want shown in emails (e.g. John Smith)
    • Email: Your full address (e.g. info@yoursite.com)
    • Password: Your account password
    • Description: A short label shown on your phone (auto-filled)
    Tap Next.
  5. Make sure IMAP is selected at the top.
  6. Incoming Mail Server:
    • Host Name: mail.yoursite.com
    • Username: your full email address
    • Password: your account password
  7. Enter the same details for Outgoing Mail Server (SMTP).
  8. Tap Next. iPhone verifies the certificate and saves the settings.
  9. On the final screen, make sure Mail is on (between Mail and Notes), and tap Save.

Within a few seconds, your new account and inbox appear in the Mail app.

3. Adding to Android with the Gmail App

The Gmail app comes preinstalled on Android phones and supports third-party accounts:

  1. Open the Gmail app.
  2. Tap your profile icon at the top right → Add another account.
  3. Choose Other from the list.
  4. Enter your email address and tap Next.
  5. Choose Personal (IMAP) as the account type.
  6. Enter your password and tap Next.
  7. Incoming server settings:
    • Server: mail.yoursite.com
    • Port: 993
    • Security type: SSL/TLS
  8. Outgoing server settings:
    • SMTP server: mail.yoursite.com
    • Port: 465
    • Security type: SSL/TLS
    • Require sign-in must be enabled.
  9. Choose sync frequency and notification settings and tap Next to finish.

4. Adding to Android with the Outlook App (Alternative)

The Microsoft Outlook mobile app is also a popular alternative, especially strong in calendar and task integration:

  1. Download the Microsoft Outlook app from Google Play.
  2. Open the app and tap Add Account.
  3. Type your email address.
  4. Outlook will try auto-detection; if it fails, choose IMAP as the account type.
  5. Enter the server/port/SSL details from the Gmail steps above.
  6. Tap Sign In.

5. IMAP or POP3?

On a phone, IMAP is almost always preferred:

  • IMAP: Messages stay on the server, and all your devices (phone, computer, webmail) sync simultaneously. A message read on one device shows as read on the others.
  • POP3: Messages are downloaded to the phone and removed from the server; you can't access older messages from a second device. Only meaningful for users with a single device.

6. Common Issues

  • "Wrong username or password" warning: Make sure you entered your full email address (info@yoursite.com) as the username, not just info.
  • "Can't connect to server" error: Check the port (993/465) and SSL settings; if you leave the ports at defaults (143 / 25), the connection often fails or is insecure.
  • Incoming messages arrive but can't send: In SMTP settings, "Outgoing server requires authentication" must be enabled; the same username/password is used for the outgoing server.
  • SSL certificate warning: You may get a warning if you used the wrong host (e.g. direct server IP) instead of mail.yoursite.com. Try again with the correct host name.
  • Messages arrive late: The Gmail app on Android has a default sync interval of 15 minutes. For more frequent checks, change "Sync frequency" in account settings.
